2019 Volunteer Information and Guidelines
Hangtown Music Festival would like to thank you in advance for your help and hard work at the festival. Your dedication is a big part of what makes Hangtown so successful, and we want to acknowledge your part in shaping the event. The following is important information that will help your arrival and experience at the festival go smoothly.
VOLUNTEER CHECK-IN:
Get your wristband at the main box office at the Blue Gate. Check-in starts at 9AM Thursday, October 24. You will not be able to gain access to the fairgrounds or staff parking lot until you have checked in and received your wristband. Box office hours are Thu 9a – 12a.
Main Box Office
“Blue Gate” 100 Placerville Dr. Placerville, CA 95667
FACILITY FEE: All volunteers will be charged a $10 facility fee upon check-in. This helps cover our basic costs of providing infrastructure including port-o-johns, sanitation, showers, and other on-site facilities. Cash or Credit Card accepted.
PARKING:
Volunteers must purchase parking. Options are as follows:
Staff Lot Parking (on-site above Mystery Meadow — no re-entry; no car camping; shuttle service available) $25 — purchase here
Tier Parking (on-site; re-entry; no car camping; shuttle service available) $50.50 purchase here
Mystery Meadow (on-site; no re-entry; “close to car” camping) $75.50 purchase here
Mystery Meadow DRY RV Parking Pass (on-site; no re-entry) $180.50 purchase here
CAMPING:
We will have a designated staff camping area adjacent to the staff parking in the Pavilion near the back (yellow) gate or behind the conference room. Ask your crew chief where the designated camp spot is. Please note: if you are camping in a designated staff camping area, it is expected that you are respectful to your fellow hard-working volunteers and staffers, many of whom have early morning shifts. Please keep noise levels down at night. If you don’t feel you can do that, please discuss camping in GA camping with your crew chief. Also, staff camping areas are extremely limited, so please don’t save space for your non-working friends. We appreciate your cooperation with this.
SCHEDULES/SHIFTS:
You will be emailed your schedules in the weeks leading up to the festival. Please note that your schedule is subject to change based on the needs of the crew chiefs. You will be notified if schedules do get changed. Please show up a few minutes before your shift starts.
DEPOSITS:
First time volunteers may be required to pay a $225 deposit via credit card in advance. This deposit is due no later than October 4. As long as you complete your shifts satisfactorily your full deposit will be returned. Deposits will not be returned if you pick up your wristband and do not complete your shifts, or act inappropriately in any way during your shifts. Your crew chief will contact you with a link to submit your deposit.
WAIVER:
Each volunteer must submit the online 2019 Hangtown Music Festival Volunteer Waiver, and Volunteer Liability Release Form.
FESTIVAL GUIDELINES: All volunteers are expected to follow the festival guidelines and should set an example. This means no dogs, no vending, no fireworks. Absolutely no alcohol or drug use before a shift, during shift hours or while wearing a staff shirt. Any volunteer violating the guidelines will lose their opportunity to volunteer, and be required to purchase a ticket and/or forfeit their deposit.
QUESTIONS/INFORMATION: While you’re on shift, people will look to you for information on the festival. Acquaint yourself with the festival site. The festival program guide will be available when you arrive. The most commonly asked questions are where things are. Familiarize yourself with the festival map.
STAFF SHIRTS:
You will receive your shirt from your supervisor. Please only wear your shirt when you are on shift at the festival. (Wear it often, and with pride afterwards!). Make sure you send in your shirt size to your crew chief no later than September 22.
Have fun! And thank you in advance for your hard work and for helping make Hangtown what it is.
